Must-Have Computer Accessories

Oh Hiya! Meg here and I’ve noticed that almost all jobs now require computers, and many of you spend all day behind a screen. In order to make those days easier and more productive, there are a couple of tools for optimizing work on a computer and at your desk.computer accessories

  1. An adjustable monitor stand is a must for me! Simply setting your monitor on your desk will likely put it at an angle that could strain your neck or eyes. With an adjustable stand you’ll be able to keep your monitor at a level that’s comfortable for you!
  1. I can’t start my day without my coffee but I’m always a bit worried about spilling it all over my desk. Make sure your daily cup (or cups) stay safely away from your computer and keyboard with a spill proof coffee mug. These are a few of my favorite heavy duty travel mugs.
  1. I do love technology but it can be such a headache keeping all the cords and cables organized and in their place. I’m a big fan of cable clips, especially the bright ones! They can attach to almost every surface at your desk and they come in all different colors to help you keep track of which cord is which. Here’s a great list of cable organizer and clips to keep all your cords in order and organized.
  1. Do you have a problem with dust at your desk? Keep your keyboard clean a keyboard dusters or cleaner. Not only will your keyboard look like new, clearing out the dust and stray crumbs will keep it in ship shape working order.
  1. Clear up some space on your desk with a Performance Mouse. Not only will you say goodbye to your mouse pad, you’ll be able to work on nearly every surface with this mouse. It’s so much more comfortable to use than a traditional mouse!
  1. My phone always seems to have a low battery when I’m working away from my desk and chargers, so I always make sure to keep a portable battery in my bag. Be sure to look for one with multiple charging ports in case a friend needs to charge their phone as well. Sharing is caring!

I hope these tools and gadgets are useful in keeping your desk in the best working order! Until next time, Meg

Office Styles for the Girly Girl

Oh Hiya!

Meg here, and I want you to know that not all office design needs to be boring and plain! As the girly girl in our company, I have made it my mission to bring a splash of color and fun into our space. Here are some tips for adding a little stylish flair to your office, while still remaining professional.

office design

  • Add Some Shine- A glam office is all about a little glitz. An easy way to upgrade is by adding some metallic touches to your desk space. One of the great things about metallic accessories is that you can make a big statement or add some simple, subtle shine. A new, mirrored pencil cup or a metallic paper tray will add some quick glitz to your desk. If you’d like to make a bigger statement, I recommend a statement lamp or some glittery photo frames. They’re certain to be conversation starters!
  • Step up your Stapler- It shouldn’t come as any surprise that I love my high heels! One of my favorite desk accessories is my Swingline® High Heel Stapler. Of course I chose the red one; I just couldn’t pass up the chance to make my girly stapler even more eye catching. While high heels may not be your shoe (or stapler) of choice, there are so many fantastic options for bright, girly office accessories.
  • Take Note- I’m always taking notes during meetings but sometimes they get a little messy and need organizing. When that happens, I always reach for my BIC® Brite Liner Highlighter. I just love all the color options in a pack, instead of just plain yellow. Every notepad needs a pop of color and these highlighters certainly do the trick! If my notes won’t need to be highlighted I’ll always make sure to write with a bright pen. Notes in bright green, blue, or pink always look prettier than those written in black ink.
  • Add an Accent- Every desk needs a bright pop of color! Since your office space may not be a large area, choosing one or two accent colors works best. You can make a statement with a big piece, like a colorful chair, or smaller pops of color like themed sticky notes or desk accessories all in the same shade. No matter what you choose to do, it’s important to make sure your new accessories compliment your style without becoming too distracting.

Whether you follow one or all of these tips, your desk will be a beautiful reflection of your own personal style! There’s no better time to personalize your desk than today and I’m certain your newly decorated space will be the talk of the office. If you’d like some great photo inspiration, I found some wonderful ideas here.

Until next time,

Meg

Send a Professional Report

Oh Hiya!

Meg here and as we prepare for a new season outdoors, we also prepare for a new season in business. We provide a variety of weekly, monthly, and quarterly reports to our clients and partners that are critical to our growth. In order to make these reports organized and professional, we use a variety of tricks and tools.

reports

To start, we keep a list of all the reports and due dates handy to be constantly updated during stages of work and completion. Nothing is worse than working through a document that’s already been finished by another member of your team. Our running list is on a white board, but you can start a workable spreadsheet online for your team or you can even use a good old paper to-do list. No matter the method, the most important thing is to stay on task and organized when it comes to producing reports.

Each report has quite a bit of data to keep track of, especially the quarterly reports. As the analytics roll in for our reports, I like to keep it all organized in specific folders using my Smead SuperTab Notes Fastener Folders. With their extra large tabs, I can personalize each folder down to the specific report and nature of the data with plenty of space to spare. Keeping the folders organized with easy to read information makes for a huge stress saver when it’s time to organize it all.

For those times when I need to re-label a folder I always turn to my Avery® Permanent File Folder Labels. They’ve got some great sticking power so I never have to worry about the labels coming off the files getting out of order.

Another great idea is to keep the analytics and data up to date on a running cycle. Whether that means a quick rundown on the information every couple of days or a weekly check in, it will save time in the long run if you keep a continuous eye on it. Some data may not be ready to check during that time but for the reports that are ready, this is a great system. Rather than spending a long few days compiling data and analytics, you can simply pull the information you’ve kept track of for easy and quick access.

Finally, you’ll be ready to present your reports! Make sure that your hard work comes through visually by creating a professional hard copy for your clients using the Fellowes® Galaxy Manual Comb Binding System. All those hours your team has put in organizing data will be ready to show off in a hard copy bound booklet.

No matter how you present it, organizing data and analytics for reports can be a bit time consuming. With the right system you can make it out with less stress and here’s hoping my tips will help you and your team. For a few extra pointers in office organization and productivity, take a look HERE.

Good luck with those reports and until next time,

Meg

5 Must-Haves for Your Office Kitchen

Oh Hiya!

Meg here and one of my favorite things about the office is our social environment. Talking and getting to know my coworkers on a personal level is very important to me and our office kitchen is the perfect place to do just that! Here are some must-haves to make your office kitchen a social and productive environment.

office kitchen

  • Coffee Bar- Chances are; your office has a supply of coffee already but sprucing up the coffee zone can be a quick conversation starter. Create a small area for cream, sugar, stirrers, and whatever else your coworkers take in their coffee. You can use cute containers and organizers to keep your items neat and in place. Not only will it be a place for employees to chat, it will keep the coffee supplies in order and make it easier to restock when supplies run low.
  • Dirty Dishware- No one likes to have a sink piled high with dirty dishes, least of all in an office space. Keep the sink area clear with a dish rack to store clean dishes and easily accessible dish soap and scrubbers. We use the Scotch-Brite™ Heavy-Duty Soap-Dispensing Dishwand. The long handle makes it easy to use and our office dish pile doesn’t stack up the way it used to. Sometimes a reminder note can keep your office mates in check when it comes doing the dishes as well.
  • Personalized Décor- The kitchen doesn’t need to undergo a full makeover, but sprucing up the decorations can do wonders for the environment. Whether you bring in some easy-care houseplants, new chairs, or brighten up the paint scheme, small changes can go a long way. Another simple idea is to decorate with photos. Have you gone on a company retreat or had a volunteer day recently? Put up a few photos from the event and encourage the office to bring in a few more. Not only will they add a personal touch but everyone will feel a part of the team to see their shining faces up on the wall or fridge.
  • Make a Note- An organized kitchen is a happy kitchen! We use our Quartet® Prestige 2 Connects DuraMax Magnetic Porcelain Whiteboard to keep track of upcoming office events and announcements. It’s any easy way to reach nearly everyone in the office without sending extra emails. But be sure to update the board every few days to keep the message fresh and encourage the entire office to add a few notes in as well. Even if it’s an ever running grocery list, an interactive note board is a great way to get the office in conversation.

Whether you’re just stopping in for a coffee break or holding a team brainstorm session, the office kitchen is a great place to catch up with coworkers and brush up on office events and announcements. With a few quick changes, your office kitchen can be the place to be. For even more great tips check out these essentials for a break room.

Add Color to the Office

Oh Hiya!

Meg here, and summer is swiftly approaching! When the sun is shining and the flowers are blooming we all want to bring an extra burst of color into the office as well. Here are some of my favorite creative ways to bring a little pop of color to any office space.

color in the office

An easy way to brighten up any space is to start by organizing. Start the process by neatening up your desk and taking care of the clutter. It’s a quick step to start opening up desk space and it will serve a dual purpose of keeping you organized and prepared. If you find you need a few more organizers, look for bright colors to keep your things neat and in style. Once your desk is open and clear of clutter you can start adding in some other bright décor!

I just love my Scotch Flower Tape Dispenser. It brings the perfect sunshine cheer to my office space and it looks so much cuter than a plain dispenser. Why not bring a little personality to your office supplies? While you’re switching out your plain tape dispenser, trade out your stapler as well. My Leitz 5504 Full-strip Stapler is another excuse to show off some color. I have the bright orange stapler but they come in so many cute colors that you can match to almost any office theme!

It may seem like a small step, but I like to switch my coffee mug every so often. Whether you crave a caffeinated cup of joe or prefer to sip hot tea in the morning, a bright new mug or tumbler can bring a smile to your face while you check your morning email. Pick one with an eye-catching design or pick-me up quote and you’ll have a great conversation starter as well.

Sometimes my black pens can be a bit dull when writing notes so I like to bring some color to each meeting with my Zebra Z-Grip Basics LV Ballpoint Stick Pen. I love the pop of blue ink, it makes my to-do list so much more exciting. Whatever color you prefer, spring is the perfect time to switch out your every day pens for some brighter shades.

Do you have any photos on your desk? Take a tip from home design and change out the frames around the pictures for the new season. It’ll give your beloved photos new life and bring some bright personality to your workspace. You can also use this time to switch out the photos or bring in a few more! Another easy idea is to exchange the frames for cute decorative tape and make a little gallery wall. What better way to show off your personality?

With summer coming up right around the corner, now is the perfect time for a little desk redecorating. Whether you’re looking for a dramatic change or just want a little extra spring color, our list has got you covered. You can check out our full range of office and desk items on our website here.  If you’d like a little more visual inspiration for your spring desk decorating check out these adorable ideas.

Happy Administrative Professionals Day!

Oh Hiya!

Meg here, and I know just how much work goes into running an office. Not only do you have all the employees, but clients, vendors, property managers and more. Our office administrator is our savior for all these things. Here are a couple reasons we love our office administrator and ways to make their day a little better as we celebrate national Administrative Professionals Day!

Happy Administrator Day via Porters Office Products

  • Gift Shower: A card is a great start, but this year you can take it a step further and throw a little gift shower. The gifts don’t need to be big, even the smallest personalized gifts can make an impact. Whether you have a basket waiting on their desk at the beginning of the day or have various coworkers stop by with little surprises and notes throughout the day, your office administrator will feel appreciated all day long.

  • A Day Off: While it may seem that your office work flow will crumble without them at the helm, your office administrator surely deserves a little break! Whether you can manage an afternoon or even a full day, let your office admin schedule some downtime out of the office. You can also surprise them with tickets to an event, a spa pass or a gift certificate for a sweet treat to enjoy during their time off.

  • Help Out: Take a day to walk in their shoes! While your whole office appreciates all the work that your office administrator takes on, it’s a different story when it comes to experiencing it yourselves. Create a schedule and have each member of the office sign up to take over or help out with various tasks that your office admin works through daily. Not only will you give them a break, you’ll have a new appreciation for all the hard work they do every day.

  • Update Supplies: It may seem like a small gesture but new supplies will make your office administrator’s job easier. A great place to start is by replacing storage boxes or bringing in a few new ones for those stubborn files that need a home. One of my favorites is Bankers Box®. Those boxes get worn out so quickly with every day use and a few new ones will go a long way in making your office administrator’s job a little less stressful. A new set of pens, a stylish new desk organizer, or even a cute new notepad will make a big difference as well.

Administrative Professionals Day is a great opportunity to show your appreciation for all that your office administrator does to make each day flow smoothly. With these tips, your office administrator will feel appreciated all day long. I think it’s a great idea to keep that appreciation flowing all year round by remembering to thank them for their hard work each day. Celebrate Earth Day In Your Office

Oh Hiya!

Meg here and did you know Earth Day is coming right up on April 22nd? We just love celebrating this beautiful world we live in go now. Earth day may be just one day out of the year, but helping the environment should happen every day! Even the office supplies you use can cut down on your waste and carbon footprint. Check out some of my favorite items and tips for keeping green:

Celebrate Earth Day In Your Office

Brown Bag It: Bringing your own lunch each day in reusable containers is a great way to not only stay green in the office but also save some green of your own! Even if it’s called a brown bag lunch, you can keep the environment in mind and use a cute lunchbox instead of paper bag each day.

Recycle: You guessed it! Recycling is one of the best ways to keep your office more environmentally minded. I’m sure your team is already great about recycling, but step it up a notch this year and work on recycling everything you can including plastics, paper, cardboard, and glass.

Use Recycled Materials: I try to cut back on using paper products but sometimes a sticky note is the best thing for the job. I love these Post-it® Notes Super Sticky Recycled Notes. They come in such cute colors and they’re made from recycled paper; nothing better than that!

Cleaning Products: Every office needs to be spring cleaned but it’s a great idea to keep the environment in mind when tidying up. By using green products you’ll have a sparkling office and a sparkling conscience. I use the Green Works® Compostable Cleaning Wipes when I’m cleaning. I love that they’re compostable and the fresh scent is easy on the nose as well!

Reuse: There are so many opportunities to reuse supplies in an office! Rather than writing out ideas or a to-do list on paper, I like to use a dry erase board. When I’m finished with a list or project, I can simply wipe it away and reuse the surface. I also prefer to use paper clips instead of staples for organizing documents on my desk. Paper clips are not only reusable but they come in so many cute styles and patterns too.

Green Technology: I’ve been guilty of being an energy hog in my office! When it comes to making the office greener, it’s so easy to overlook technology. A great idea for keeping energy levels low is to set your computer to sleep or hibernate mode when you’re away. A dark screen will save more energy than a screen saver. Another idea is to turn off the overhead lights. This works great if you work in an office with quite a bit of natural light. Not only will you save on energy usage, you’ll have the added benefit of extra sunshine!

Earth Day is a great time to take a little extra care in celebrating our planet, but with these easy tips you can take care of the environment every day! If you’re looking for a few more ways to keep your office green, take a look at THESE ideas.

Crunching for Tax Season!

Oh Hiya!

Meg here and if you’re anything like me, you’ve waited for the very last minute to put together your tax information. Thank goodness I have all the supplies I need in order to make this process quick and painless. When it comes to filing a bit late, these steps and tips are great to keep in mind:

1-Crunching for Tax Season via Porters Office Products

  • Stay Organized: Nothing is worse than dealing with a mess when you’re filing in a rush! To keep my timeline on track and keep my files in a row, I use <a href="http://shop doses of synthroid.portersop.com/product/AVE95930″>Avery® Easy Align Self-Laminating ID Labels. These labels are so quick and easy to print and place that my files are nearly never out of order!

  • Speak Up: If you have a question or are unsure about something in the documentation or requirements, ask. I think it’s so important to understand the ins and outs of filing taxes and I won’t hesitate to ask if something is a bit confusing. Better to ask and know than guess and make a mistake!

  • Check it Twice: Even when you’re in a bit of a hurry it pays to be sure your numbers are on track and in the right order. I always trust my HP 12C Financial Calculator. This trusty mathematic companion has never steered me wrong.

  • Keep It or Shred It: It’s important to keep important tax forms after you file, but some of your other sensitive documents can be disposed of safely. I use the Fellowes® Powershred 455Ms Micro-Cut Shredder for my remaining files. But before you shred, always double (and triple) check that you are keeping the correct files.

  • Send it: When it comes to sending off the final forms and documents, you want to be certain that your documents are secure when they’re in the mail. My favorite envelopes are these Quality Park™ Bagasse Sugarcane Envelope. When I send off my documents I want to be sure that they’ll be safe on their course.

  • Go Digital: I know most of my tips are for filing through paper documents but I’m a bit old-fashioned when it comes to filing! It can be quite easy to e-file your taxes using a digital program. You’ll be able to upload all your important documents to your computer and there’s plenty of helpful prompts to keep you moving in the right direction and filing correctly.

  • Relax- This is my favorite step of all! After I’ve sent off every document and form, cleared my desk, and organized and filed away all the extra papers, it’s time to take a break.  Whether you’ve filed through the mail or used an e-filing program, you can congratulate yourself on a job well done!

I hope these tips help you stay organized and on track while filing your taxes. For more tips you can take a look HERE. If you’ve already finished filing, I congratulate you!

Until next time,

Meg

To Sit or To Stand: The Great Debate

Oh Hiya!

Sit or Stand

Meg here with a few tips on staying healthy and balanced at work. With the holidays past and the first strains of spring in sight, it’s a great time to bump up your work routine. Snap out the winter slump by boosting your activity at work. With these great healthy ideas, you’ll be boosting not only your health but also your productivity.

Standing desks are a great alternative to sitting in a chair during the work day, but the action can’t stop there! Studies show that while standing during the day gives you a healthy boost, it’s also necessary to bring in other ways to get your blood pumping.

One of my favorite ways to get moving at my desk is this Victor Steppie Balance Board. It improves my balance and posture while I’m working without distracting me. I also love how little space it takes up; I can just slide it under my desk when I leave the office. If you have a little more room around your space, a treadmill desk is another great option. They may be a bit bigger but they really allow you to be active while working.

No matter what you choose to do, the most important thing is getting up and getting active!

Until next time,

Meg
